What You Will Be Doing:

Join our dynamic HR Operations team focused on maintaining the backbone of our employee data. As an HR Records Management Specialist, you will play a vital role in ensuring the accuracy, completeness, and confidentiality of employment records for all our associates. This position involves processing various employee lifecycle transactions, maintaining personnel files, ensuring data integrity through audits, and providing crucial support for HR processes.

Key Responsibilities:

  • Process and manage employee lifecycle transactions including new hires, promotions, pay increases, transfers, status changes, and terminations with accuracy and timeliness.
  • Conduct thorough Rehire and Transfer Eligibility Checks, involving detailed research and investigation to reach accurate conclusions.
  • Maintain electronic personnel files meticulously, ensuring all documentation is correctly filed and accessible. Handle requests for file information promptly and securely.
  • Organize, manage, and distribute incoming physical documents related to personnel records (if applicable).
  • Uphold strict data integrity standards; perform regular audits of HR data to identify and correct discrepancies.
  • Accountable for meeting processing turnaround times, typically within 24-48 hours.
  • Troubleshoot and resolve problems or questions related to HR data processing and records management.
  • Serve as a point of contact for inquiries related to electronic personnel files and eligibility checks, providing clear and thorough responses.

Required Skills & Experience:

  • Demonstrated experience in HR records management, data management, or a similar HR operational role.
  • Exceptional attention to detail and accuracy, particularly with data entry and verification.
  • Strong organizational and time management skills, with a proven ability to manage multiple tasks and meet strict deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience using web browsers (Internet Explorer, Edge, Chrome).
  • Excellent verbal and written communication skills, capable of providing thorough and clear instructions and responses.
  • Ability to learn and apply technical information related to HR systems and processes.
  • Understanding of the importance of confidentiality and experience handling sensitive employee information.
  • Experience processing employee data changes (terminations, status updates, etc.).
  • Familiarity with HRMS (Human Resource Management Systems).

Desired Skills & Experience:

  • Experience using PeopleSoft HRMS.
  • Proven investigative and analytical skills.
  • Experience processing a high volume of HR transactions (new hires, pay increases, etc.).
  • Strong customer service orientation.
  • Experience performing data audits.

Pay: $13.00 – $21.00 /hr.
