What You Will Be Doing:
We are looking for a highly organized and proactive Executive Assistant to support our Practice Director. This role is a hybrid position, blending traditional executive support with project coordination. You will be the crucial link between the Practice Director, staff, clients, and stakeholders, ensuring seamless operations and efficient communication.

Work Arrangement:

  • Hybrid role with a mandatory in-office presence on Wednesdays.
  • Additional in-office days for client meetings as required.
  • Remote work for the remaining business days

Key Responsibilities:

  • Serve as the primary point of contact between the Practice Director and all stakeholders.
  • Manage the Practice Director's complex calendar, prioritizing sensitive and time-critical appointments.
  • Triage correspondence and handle clerical tasks, freeing up the Practice Director for strategic work.
  • Draft and edit professional communications, including emails, memos, and reports.
  • Maintain accurate corporate records, documents, and reports.
  • Coordinate, attend, document, and track action items from all Practice Director meetings.
  • Organize meetings, including scheduling, reminders, and catering.
  • Process expense reports and perform basic accounting duties.
  • Greet and direct visitors professionally.
  • Arrange travel logistics and itineraries.
  • Assist with internal partnership initiatives.

Required Skills & Experience:

  • Proficiency in MS Office Suite, with a strong focus on Outlook and Excel.
  • Experience with Google Workspace applications.
  • Ability to create and format professional presentations.
  • Ability to learn new software platforms quickly.
  • Exceptional time management and deadline adherence.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Sound judgment and problem-solving skills.
  • Ability to act as an effective gatekeeper.
  • Competence with standard office equipment and technologies.
  • Self-motivation and ability to work independently.
  • Professional interpersonal skills and demeanor.
  • Discretion in handling confidential information.
  • Meticulous attention to detail.
  • Adaptability.

Desired Skills & Experience:

  • Previous experience as an Executive Assistant.
  • Experience with project coordination.
  • Experience with basic accounting principles.

Pay: $38,500 – $55,000 /yr.

We are interested in every qualified candidate who is eligible to work in the United States. However, we are not able to provide sponsorship at this time or accept candidates who would require a corp-to-corp agreement.
