What You Will Be Doing:
As the Administrative Assistant, you will provide administrative support to ensure efficient day-to-day operations, including managing schedules, handling correspondence, and organizing meetings. You will serve as a central point of contact, coordinating information flow and facilitating communication within the organization.
Key Responsibilities:
- Provide administrative support to ensure efficient operation of the office.
- Support managers and employees through various tasks related to organization and communication.
- Handle confidential and time-sensitive material.
- Communicate effectively via phone and email, ensuring high-quality and timely completion of duties.
- Answer and direct phone calls.
- Organize and schedule meetings and appointments.
- Maintain contact lists.
- Produce and distribute correspondence, memos, letters, faxes, and forms.
- Assist in preparing regularly scheduled reports.
- Develop and maintain a filing system.
- Order office supplies and manage inventory.
- Book travel arrangements and submit/reconcile expense reports.
- Provide general support to visitors and answer questions/requests.
- Take dictation and assist in creating presentations.
- Generate reports and handle multiple projects.
- Prepare and monitor invoices.
- Develop administrative staff by providing information and growth opportunities.
- Ensure operation of equipment through preventive maintenance and repairs.
- Maintain professional and technical knowledge by attending workshops and participating in professional societies.
Required Skills & Experience:
- Proven experience as an Administrative Assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Familiarity with office management procedures.
Desired Skills & Experience:
- Experience with travel booking and expense reporting.
- Knowledge of filing systems and data management.
- Familiarity with project management software.
- Ability to take dictation and create presentations.
- Experience in a research or corporate environment.
Pay: $15.96 – $22.80 /hr.
